About the Job

Our team is small, but the impact of our work is huge. Dear World travels the globe helping capture communities’ stories at everything from colleges to refugee camps to some of the largest companies in the world. To achieve our unique portraits, we employ a roster of local New Orleans-based administrators, rotating field producers, remote consultants, and production professionals local to each city we visit. Dear World is seeking a New Orleans-based junior-level Business and Finance Assistant to help ensure that all production and administrative operations are carried out seamlessly, regardless of whether we’re in the middle of one production or one hundred.

You will be our numbers human. An integral member of our headquarters team, you’ll report to our head of Sales and Marketing and work intimately with our producers. You will live in our books, tracking all income and expenses, both at the company level and for each job we go on. You’ll support our producers through the budgeting process for gigs and will lend guidance when it comes to negotiating contracts. You will help streamline our daily operations, while making sure that both Dear World and all team members are paid on time. You are a young professional eager to grow and develop your skillset with a creative team.

Maintain QuickBooks: properly code all charges and revenues, monthly reconciliation of all accounts, pull reports and statements as requested
• Run payroll, including processing paychecks, new employee onboarding, filing forms, and paying taxes
• Ensure timely payment of all vendors, contractors, and field team members
• Fill and send Work for Hire agreements to all contractors for every gig
• Monitor event budgets: track and input all expenses for each gig, provide producers with budget breakdowns and analysis, identify areas for potential cost-saving
• Draft sales contracts and help negotiate proposed changes as necessary
• Client invoicing: draft and send client invoices, provide receipts upon request, monitor status of outstanding balances owed, and follow up with clients regarding overdue payments
• Generate monthly, quarterly, and yearly expense reports and budget projections
• Financial compliance: adhere to all ongoing and year-end payroll, tax, and form filing requirements
• Conduct ongoing event analyses to monitor event success and identify areas for greater efficiency
• Audit all Dear World accounts and systems to eliminate redundancies and identify platforms that could streamline workflow while reducing expenses

Your role exists on the neutral ground between our Creative, Business Development, and Program teams. As such, your days will vary based also on who needs support and when. You’ll pitch in wherever necessary. Whether that means conducting a gear inventory, helping map out an event-heavy month on the wall calendar, or occasionally running portraits to the framer, we’ll rely on you to do whatever it takes to keep the wheels turning. And you certainly don’t have to be a gearhead, but it helps if you’re willing to learn how to pack up a field kit, just in case.

Required Skills
QuickBooks expertise is a must. Payroll experience desired. Business, Finance, or Accounting Major preferred. Familiarity with Google suite. Production accounting experience a plus, but not required.
